Terms of service
Last updated 17 October 2026
These terms are the agreement between Adminify Ltd ("we", "us") and the business that signs up ("you", "your organisation"). They cover the Adminify platform and every product on it, and they are also the licence for using our software, including when it connects to other services. Each person who signs in also agrees to use Adminify in line with them.
1. The service
Adminify is software for running a business's administration, provided online. Your organisation chooses which products it uses. We keep improving the service; if we remove something your organisation relies on, we will tell you in good time.
2. Licence
While your organisation subscribes, we give it a non-exclusive, non-transferable right to use Adminify for its own business, for the people it invites. You may not copy, resell, reverse-engineer or build a competing product from the service, or get around its limits or security. We own the software; you own your data.
3. Accounts
- Accounts are by invitation. Your organisation decides who has access and what each person can do.
- Keep sign-in details to yourself. Tell us straight away if you think an account has been misused.
- Your organisation is responsible for what happens under its accounts.
4. Acceptable use
Don't use Adminify to:
- break the law, or infringe anyone's rights;
- send spam or messages people haven't agreed to receive;
- upload malicious code, or try to get into systems or data you're not allowed to;
- put an unreasonable load on the service.
We may suspend access that puts the service or other customers at risk, and will tell you why.
5. Your data
- Your organisation owns what it puts into Adminify. We use it only to provide the service to you, and not to train AI models.
- For personal data in it, your organisation is the controller and we are its processor. We act only on your instructions (these terms, and how you use the service); keep it confidential and secure; use other processors only under written terms that protect it as these do, and tell you before adding or replacing one; help you answer requests from the people it's about; tell you without undue delay about any breach that affects it; and delete or return it when you leave. This section is our data processing agreement under UK GDPR.
- You confirm you have the right to give us the data, and to have it processed this way.
6. Connections to other services
If your organisation connects another service, it authorises Adminify to read and write data there on its behalf, only for the products it allows. You can disconnect at any time. That service's own terms apply to it, and we aren't responsible for it.
7. AI features
Some features use AI, which can make mistakes: check anything important before relying on it. Your data is never used to train AI models.
8. Information from other sources
Some features show information from official sources, such as VAT number checks with HMRC. We show it as given; it isn't advice, and you remain responsible for your own tax and records.
9. Fees and payment
- Prices are as agreed for your organisation's subscription, plus VAT where it applies.
- Subscriptions are billed in advance each month (or year). Use beyond what your plan includes is billed in arrears, at the price shown for it.
- Payment is taken by card or Direct Debit through our payment provider.
- We will give at least 30 days' notice of any price change.
- If a payment fails we'll tell you and try again. We won't switch off your service without telling you first and giving you time to put it right.
10. Cancelling
You can cancel at any time; the service runs to the end of the period already paid for, and we don't refund part periods. Before you go, you can export your data, and we'll help if you ask. We delete it within 90 days afterwards, apart from what the law requires us to keep (such as invoices). We may end the agreement with 30 days' notice, or straight away if you seriously break these terms.
11. Availability and support
We work to keep Adminify running and secure, and to fix problems quickly, but we can't promise it will never be interrupted. We'll tell you about planned maintenance that affects you.
12. Liability
- Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else the law doesn't allow to be limited.
- Otherwise, neither of us is liable for loss of profit, revenue, business or goodwill, or for indirect losses.
- Our total liability in any 12 months is limited to the fees your organisation paid us in those 12 months.
13. Confidentiality
Each of us keeps the other's confidential information confidential, and uses it only for this agreement.
14. Changes to these terms
If we change these terms in a way that matters, we'll tell account holders at least 30 days before it takes effect. If you don't agree, you can cancel before then.
15. General
These terms are the whole agreement between us about Adminify, unless we've signed something else that says it takes priority. Neither of us is responsible for delays caused by events outside our reasonable control. They are governed by the law of England and Wales, and its courts decide any dispute.
